Owner

Full access — all modules, billing, and settings. Only 1 owner per workspace.

Admin

Almost full access — all modules except billing. Can invite and manage team members.

Finance Manager

Access to invoicing, expenses, reports, vendors, clients, cashflow. Cannot run payroll or change settings.

HR Manager

Access to payroll, staff management, and leave tracking only. Cannot see financial reports.

Accountant

Read-only access with full export capability. Can view all finance data but cannot create or edit.

Staff

Can submit expense claims and view their own payslips only. No access to company finances.

Viewer

Read-only dashboard access. Can see summary metrics only — no transaction details.

Team and access questions

Can I have multiple owners on one workspace?
No — there is one Owner per workspace. However, Admin role has almost identical access (minus billing management) and you can have multiple Admins. If ownership needs to transfer, the current Owner can change the Owner designation to another account.
Can staff submit expense claims without seeing company financials?
Yes. The Staff role is specifically designed for this — your team members can log in, submit expense claims with receipts, view their own payslips, and apply for leave — without seeing any company invoices, reports, or financial data. They only see what relates to them personally.
Does each team member need their own Paycape account?
Yes. Each team member is invited via email and creates their own secure login. This means every action is attributed to the specific person who performed it — essential for audit trails and accountability. There is no shared login.
How many team members can I add?
The Free plan supports up to 2 team members (owner + 1). Starter allows 5, Business allows 15, and Max allows unlimited team members. All plans include the full role permission system regardless of how many users you have.
