How does the expense approval workflow work?
Staff submit expenses from the web dashboard or via the Slack bot. The expense shows up as PENDING in the Finance or Admin's dashboard. They review the details, check the receipt attachment, and click Approve or Decline. Approved expenses automatically update the relevant budget and move to REIMBURSED status once payment is made.
Can staff submit expenses on their phone?
Yes. Paycape is fully mobile-responsive, so staff can submit expenses from any smartphone browser. They can also use the Paycape Slack bot to submit expenses directly from a Slack message — great for teams that live in Slack. Receipt photos can be uploaded directly from their phone camera.
How do budget alerts work?
When you set up a budget, you can choose alert thresholds — for example, notify when spending reaches 70%, 80%, and 90% of the budget. When a threshold is crossed (after an expense is approved), Paycape sends an email notification to the designated manager and shows a warning on the budget dashboard. This helps you act before budgets are blown, not after.
Can I link expenses to specific clients or projects?
